Access to University Information Technology Resources Policy
POLICY STATEMENT |
Delta State University provides access to University owned technology resources for the purposes of learning, service, and research whose use is consistent with the mission and purpose of the University. Access to University systems is granted by the Office of Information Technology for use in accordance with this policy.

PROCEDURES and RESPONSIBILITIES |
Access to university systems is provided to University faculty, staff and students based upon required need.
Staff/Faculty Access:
- All full-time and part-time employees are provided access to University email as a means of communication. The email account provided by the University is to be used for all official business and should not be used for personal email communication.
- Faculty and staff are provided additional access to university systems based on required need and job function. Any additional access to systems must be approved by the appropriate university personnel.
- Faculty and staff requiring access to specific functional areas in Banner may be required to obtain additional approval from the functional lead of the Banner module prior to access being granted.
- Employees are not allowed to delete, copy, or in any way destroy important university documents without manager approval prior to departure from the university or transfer to another department. Employees that delete important documents will be subject to disciplinary actions.
Employees requiring access to computer systems are required to fill out the Request for Individual Computer Account request form. The form must be completed and signed by the employee’s direct supervisor.
All access to University systems will be terminated upon discontinued employment with the University. Special access to University systems beyond employment must be recommended by the direct supervisor and approved by the Vice President over that area. Requests for extensions longer than six months, must be for a definite period and approved by the President.
Any computer files or related equipment are the property of the university. Staff and faculty are not allowed to retain copies of university owned data or materials without express written permission from the reporting vice president, the vice president over the data in question and the chief information officer. The only exception to this policy is data that is explicitly covered under the Intellectual Property policy.
Student Access:
- Students are provided a University OkraMail email account. Students are required to check this email frequently as this is the official means of communication with students. Student email accounts are disabled six months after graduation, or six months after active enrollment ends.
- Students are provided access to DSU Online Services while actively enrolled in classes. Student accounts for DSU Online Services are terminated six months following active enrollment.
