Collection Development: Overview

  • Timetable – Orders should be submitted as soon as they are ready. Due to the fact that the University ends off-campus expenditures by mid-April, orders amounting to 50% of departmental allocations must be submitted by November 15, 2007; 100% of departmental allocations must be submitted by March, 15 2008.

    Departmental allocations remaining unreserved after the November and March deadlines will be reallocated.

  • Types of Materials – Departmental allocations are to be used for the purchase of books and A/V materials that will be added to the holdings of Roberts – LaForge Library. Most books are housed in the Roberts – LaForge Library, while various types of A/V and computer software are housed in the Instructional Resources Center. Each department will be permitted to use up to 15% of their departmental allocation for the purchase of A/V and non-book materials. Orders in acces of 15% must be cleared through Jeff Slagell, Interim Director of Library Services. No textbooks may be ordered, and duplicate copies of existing holdings will be ordered only in special circumstances.
  • Selection Aids – Critical reviews of information resources are a valuable tool when working with a limited budget such as ours. In addition to the professional journals you may have available in your discipline, we are routing CHOICE Reviews-on-Cards. The individual cards provide complete bibliographic and pricing information as well as a critical review.

    In addition, our Reference librarians route reviews selected and photocopied from the general review literature. In most cases, items selected fill gaps or perceived needs in our collection. We are requesting that you consider these in placing your book orders. Please take into account the general needs of all undergraduate students who may be researching topics falling within your discipline as well as the needs of your own students and faculty.

  • Procedures for Submitting Orders:

    CHOICE-Reviews-on-Cards. Library liaisons will route individual cards, sorted by department, to departmental liaisons who in turn will route the cards to their departmental faculty members. We ask that the faculty carefully consider the reviews, especially taking into consideration the audience level as well as the content and recommendation. When selecting titles for purchase, you may submit your signed CHOICE cards to your library liaison without filling out additional library order cards.

    All other orders: Order cards are available from the library. Upon submittal, the order cards should have accurate and complete information which is clearly legible (author, title, publisher, edition date, ISBN number, and price.) If you desire to take advantage of special promotions and sales, that information must accompany the order cards and it needs to be submitted to the library at least three weeks prior to the sale deadline.

    All orders are routed from the faculty to the departmental liaison and must be approved by the department chair. Orders should be submitted directly to your library liaison. Please return all CHOICE cards and books reviews that were not selected. Librarians may choose from these if end-of-year funds become available.

    Duplicate Orders: Before submitting order cards to the library liaison, it is important to first check MERLIN, the library catalog, to see if the libraries already own a copy of the item in order to prevent submitting a duplicate request.
